Choosing the Right Tent

Choosing the Right Tent

The two main things to consider when choosing a tent for your event are the size and the style. The size will depend on the space you have available, how many guests you’re having and what the tent is being used for - such as seating for a ceremony or a fully seated and served dinner with dancing. The style will vary depending on the overall look of your event, the weather conditions, and the length of time that you plan on leaving your tent installed.

Size

One of the first items to consider is how many people you are expecting to host in the tent. Guest count, coupled with the space that you have available, and the type of activity you will be engaged in, will determine the size of the tent that you need. You also need to consider the location size. Ensure that you have room not only for the tent but any needed ballast. When considering tent rentals with heaters, also consider additional space needs for that equipment.

Two tent size examples

  1. A 20x20 tent can hold up to forty guests seated at five-foot round tables, but if you add in a table for a food buffet, that cuts the capacity to only thirty guests. Keep in mind that this assumes that your space holds that tent size. If you only have an area that is eighteen-feet wide, you would need a tent that is 15’ x 30’
  2. A 30x40 tent can hold up to 120-guests seated at five-foot round tables, but if you want an area for dancing and a buffet, you will be able to seat around 60 guests.
Tent Size Ceremony Seated at Round Tables with space for a buffet with space for buffet & dancing
20x20 50 40 30 20
20x30 75 60 40 30
20x40 100 80 60 40
20x50 125 100 70 50
30x30 110 90 60 40
30x40 150 120 90 60
30x50 190 150 100 80

Please Note: Additional space may be required depending on your specific event. Please contact one of our specialists to discuss your exact needs.

Style

Tents are a great venue to host your event. Whether you need tent rentals for weddings or any other type of event, they are a fantastic option. However, most folks don’t realize the variety of tents there are to choose from. From materials to sizes it is important to have the right tent for your event when looking for tent rentals in NY. Also worth considering is if you are looking for tent rentals with heaters or air conditioning. If so, you need to ensure you choose a tent that can properly seal to maximize the efficiency of the climate control.

Next to consider is the type of tent. Below we discuss different tent rental types:

Pop-Up

Pop-up tents typically come in 10x10, 10x15 and 10x20 sizes. These are the least expensive tent options, and are water resistant with 7 foot sides. They are easily weighted, however they are only meant to withstand winds up to 5 miles per hour.

Pole Tent

Pole tents are the most traditional. They use center poles and tension with ropes pulling the poles into place. Pole tents are easier to set up and typically cost less, but they do require staking into the ground so are not ideal for asphalt or concrete. Center poles and ropes also impact both the available interior space and the tent footprint.

Tension Tents

If you’re looking for a beautiful shape with high sweeping peaks, in larger sizes, look no further. Tension Tents have fewer internal poles than traditional pole tents plus they are engineered to stay up in wind and heavy rain. Tension tents must be staked in. With tension tents, we reach tent types that are possible to use for tent rentals with heaters.

Sail Cloth Tents

Sail cloth tents create an open, airy ambiance like no other. The translucent, eggshell colored fabric, with its veined lines allows for wonderful displays of light inside and out. Enjoy dazzling colors and subtle patterns with proper internal lighting for stunning outer views, while dappled sunlight can filter through for atmospheric internal views. Flowing rounded edges and natural looking wood poles complete the warm look, creating a unique venue for your special day. Staked into the ground, sail cloth tents are a secure and impressive way to make your event stand out. They are a beautiful choice for tent rentals for weddings.

High Peak Marquee Tents

Combining the advantages of frame tents and the beautiful look of Tension Tents, High Peak Marquees are often a good choice. Offering clear floor space  and versatile installation options such as weighting on hard surfaces, high peaks are also an option for tent rentals with heaters.

Frame Tents

Frame tents are the choice of most of our clientele due to versatility. Frame tents provide open floor space without any center poles and can be installed with weight allowing installation on cement, pavers, asphalt, sand, rooftops, and more.

Hybrid Frame Tents

Hybrid Frame Tents bridge the gap between the Frame Tent and the Clearspan Structure. They offer great stability in inclement weather and also are able to be sealed up much better to maximize efficient climate controlled tent rentals, with heaters or air conditioning. The tents and sidewalls typically have a more finished look, and sidewalls that slide are typically an available option. An excellent all around choice for tent rentals in NY where weather is unpredictable.

Clearspan Structure Tents

Ranging from 66’ to over 132’ wide, and almost unlimited in length, Clearspan Tents offer the largest tent sizes available and are what you need for your biggest events. They are the strongest solution for wind and often are snow load rated. Leg heights can vary from eleven-feet up to about seventeen-feet high! Some clearspan structures are insulated, providing the greatest climate control efficiency.

Important note about Clear Top Tents

Clear top tents are wonderful choices for events in April, May, June, October & November. Sizes are versatile and they provide a clear roof to see the sky which helps to make the tent feel more open.
