Tent Weather Action Plan
Quick reference for crews and event managers: when to stop setup, suspend operations, and evacuate.
Purpose
Ensure guest and crew safety by defining clear actions based on weather. This plan aligns with Building & Fire Code guidance for temporary membrane structures.
Weather Monitoring
- Weather Officer: Assign one person to monitor forecasts and radar continuously.
- Sources: Use trusted sources such as the National Weather Service — https://www.weather.gov/.
- Communication: Weather alerts must be communicated immediately to the crew and event staff.
Operational Phases & Decision Points

Note: These thresholds are practical guidance. Use your tent's engineered limits when provided; always allow buffer time to act before thresholds are met.
Evacuation Steps
- Announce: Make a clear evacuation announcement to guests and staff.
- Move: Move everyone away from the tent, stakes, and guy lines.
- Assemble: Gather at the designated safe indoor location.
- Confirm: Do not re-enter until the Weather Officer or a city official issues an “all clear.”
Post-Weather Inspection
- Inspect: Check frame, anchors, fabric, and connections for damage.
- Drainage: Clear standing water and ensure no pooling on the roof or grounds.
- Repair: Fix or replace damaged components before resuming operations.
Quick Reference Thresholds
- Stop Setup: Wind gusts of 25 mph or greater.
- Evacuate: Wind gusts of 40 mph or greater, or lightning nearby.
- Re-entry: Only after inspection and official “all clear.”
